Assigning Watermarks and Forcing View-only Option for PDF Files

Watermarks, Forcing “View-only”


In the box settings, box creators can add additional protection for the PDF files in their boxes by assigning watermarks or read-only attributes to the respective files. This function can only be activated when the data room is first created. In already created data rooms this function is inactive.



Proceed as follows:


  • You are on the Box overview homepage.
  • Click on the Box icon with the + icon  in front of it.
  • Then select “ Data room ” to start the creation process.
  • Enter a name for the data room.
  • Go to the “ DATA ROOM ” tab.
  • Activate the option “ Force attributes for all PDF files in the Data Room .”
  • Select either “ Watermark all PDF files ” or “ Provide all PDF files with a view-only attribute .”
  • Click on “ CREATE BOX .”

  After you select the desired attribute, all uploaded PDF files will be provided with the respective attribute.  

If a document is watermarked, it can no longer be uploaded to a data room where watermarking is enforced.
