Authorize user group for files

Authorize user group for files

If members of a data room are to be authorized for folders or documents, then "Extended Rights Management (ERM)" is suitable for this. To give a user certain permissions to folders or files, this user must first be assigned to a user group. The permissions of this user group are then assigned to a folder or file.

Proceed as follows:

1.        To create a folder, click on the icon in the toolbar.

2.       Select the "New folder" function.

3.      If you do not check the "Disable inheritance of parent folder permissions" box, the folder will inherit the permissions of the parent folder. If the check mark is set, user groups must be authorized on the folder.

4.      Click on the "SAVE" button.

5.      Click on the 3-dot menu in the row of the folder.

6.      Select the "Permissions" function.

7.      Click on a user group to add it to the folder.

8.      Optionally set the read permission, the write permission and/or the delete permission. If you do not assign any rights to a user group, it disappears again after clicking the "SAVE GROUP PERMISSION" button.

Note: In order not to lose the overview of the rights assignments, idgard® ensures that files, notes and folders in a directory can never have more rights than the root directory (mother directory).
