BoxMail (-Box) for secure sending of e-mail attachments
The function "BoxMail" helps to create a sealed temporary Box. You specify the members of the Box in a dialog, as well as the time to live of the Box, and you upload the data that the members should access. You can also invite guests to a "BoxMail" who do not have an idgard® license. Without a license, the guests can only download the documents. Every time users without a license use the "BoxMail", it is documented in the member area under "List of users with one-time access". Users with a license for another idgard® account can also access the documents if you grant them permission to do so.
You will find the function "BoxMail" in the green bar of the Box overview. Open the "BoxMail” function.
- Enter the email address of the recipient. Click on "To" to choose between sending the e-mail directly to this person or put them in cc or bcc. To prevent other users from seeing each other, you should set the e-mail address to bcc.
- If you want to use a pass code, insert the phone number (without spaces) to which you would like to send it by SMS. For security reasons a mobile phone number is preferable to a landline number.
- Upload the files. You can upload several files one after another.
- In case of 2-factor authentication, open the "Security" tab and select the pass code
- Open the tab "Properties": Define how many days the "BoxMail" should be active and give it a name.
- Click on "Create BoxMail”.
You will see the invitation text with the registration link. Click on "Copy to email” If your email client is the default program on your computer, the invitation text will be inserted into your email client—you can still customize it.
Send the invitation link to the recipients.
