Creating a full license user

Creating a full license user

You can provide an employee of your company with a full license to allow them to work with idgard®. Users with a full license can become members of a Box, just like guests. If the administrator gives them the appropriate permissions, a full license user can create Boxes and guests themselves. You can also provide a full license user with the permissions of an administrator. 



Proceed as follows:

  • Open the Administration on the left side menu
  • You are in the user administration
  • Click on the "+" symbol in the green bar 
  • Fill out the form with the profile data of the full license user
  • Select "Full license" in the "License" field
  • Enter the name under which this user should be listed in idgard®
  • Insert the e-mail address
  • For example: Insert the phone number (without spaces) for sending a pass code by SMS. For security reasons a mobile phone number is preferable to a landline number.
  • Select the "Visibility permissions". Here you can define which additional users should be shown to the full license user to add to their Boxes.
  • Define if the user of this full license is allowed to create a guest and which Box type, they are allowed to create.
  • Optional: Insert the phone number for sending a passcode via SMS without spaces and without dashes. For security reasons, a mobile phone number is preferable to a landline phone number.

To complete the process, click on "Create new user". After you have created a full license user, their status is set to "initiated". Once you have invited this full license user and they have registered, their status changes to "active".



Proceed as follows:

Use the checkbox to select one of the options. A full license user can add guests or other full license users to a box. At this point, you select which other users with full or guest licenses for this user are displayed in the member list.

Proceed as follows:

By activating the checkbox, select whether the user may only create guests with a permanent license or/and with a temporary license. Once you have filled in the profile data, save the data.




To increase the security of registration or login, we offer you additional methods to the password entry. A passcode sent by SMS to the specified phone number or you can use other methods such as TOTP (one-time password) function. The 2-factor authentication settings are available to you, but are optional to apply. However, the administrator of your idgard® account can force the use of a Die 2-Faktor-Authentisierungseinstellungen for each newly created user.

Proceed as follows:
  1. If you want to confirm the correctness of the registered persons, select a method for the 2nd factor. Among other things, you are offered to send a passcode via SMS to the specified phone number. If you select the SMS, you can generate a passcode using the "arrow icon" or you can enter a 5-digit passcode yourself. The 2-factor is sent only during registration. 
  1. If the correctness of the person registering is to be confirmed, the selected 2-factor will be sent to the user each time he registers. You can also choose the passcode, which will be sent by SMS to the given phone number. A fee is charged for each SMS sent.
  1. You can assign a user to log in via TOTP in the "Login 2-factor" field. The user must then first pair his or her credentials with an authentication app. If the login via T-OTP is completed successfully, the user can then generate a code via his app for the login.

If you change the saved data—like the name, e-mail address or phone number—, this user will be informed by e-mail.   

After you have created a guest license user, their status is set to "initiated". After you have invited this guest license user and they have registered, their status changes to "active". To complete the process, click on "Create Guest". If you change the saved data—like the name, e-mail address or phone number—, this user will be informed by e-mail.  If you have the permissions of an administrator, you can also create a guest in the user administration.
