Creating a Meeting Pack in the Data Room
The “Meeting pack” function is only
available in the Enterprise package. The meeting pack consists of a cover page,
a table of contents, and the PDF files you select. Each PDF file should have
its own cover page. The meeting pack receives the name of the folder under
which it is created. To allow all files to be merged together in one PDF file,
the cover page and the table of contents must be converted into a template. You
can also move the meeting pack to another target folder that is different from
the default storage location.
If
you would like to customize the standard cover page/table of contents to better
suit your layout, just send us your layout as a Word document (in .docx
format). We will then customize these files accordingly as a service and
convert them into a template for your meeting pack.
The meeting pack
consists of a collection of PDF files that are located in a specific folder
structure. We recommend for the data room creator or administrator to create
the meeting pack, since only they can move around documents within the folder
structure, if necessary. If a person other than the data room creator compiles
a meeting pack, this person should, at a minimum, have read and write
permissions in the data room.
Creating a Simple Meeting Pack
Proceed as follows:
Use the “Simple Meeting Pack”
function for this purpose.
You can now combine all of your PDFs into a single PDF
file as a meeting pack. Use the “Simple Meeting Pack” function to merge all of
your PDFs into a single file in the respective folder and to use the
pre-selected templates for the cover page and the table of contents.
- You received the templates for the cover
page and the table of contents customized for your meeting pack from us.
- Click on the “+” icon in the
toolbar at the top of the screen.
- Then select “ Meeting pack .”
- If you click into the upper data window ,
you can view examples of a folder structure for a simple meeting pack.
- Create a folder structure similar to the
example shown in the illustration. The left side of the illustration shows
the folder structure in the data room. On the right, you can see the
corresponding implementation in the meeting pack.
- Select “ Simple Meeting Pack ” in the
upper data window.
- Under “ Source directory ,” select
the folder under which you want to store the meeting pack based on the predefined structure .
- Under “ Target directory ,” select
the folder under which you subsequently want to store the meeting
pack .
- Select the template for the cover
page .
- Select the template for the table
of contents .
- Click on “ CREATE MEETING PACK .”
Open the folder in which the
meeting pack was stored. The meeting pack received the name of the parent
folder. The meeting pack contains all of the PDF files.
Creating a Structured Meeting Pack
Proceed as follows:
Use the “Structured Meeting Pack” function for this
purpose.
- You received the templates for the cover
page and the table of contents customized for your meeting pack from us.
- Click on the “+” icon in the
toolbar at the top of the screen.
- Then select “ Meeting pack .”
- If you click into the upper data window ,
you can view examples of a folder structure for a structured
meeting pack.
- Create a folder structure similar to the
example shown in the illustration. The left side of the illustration shows
the folder structure in the data room. On the right, you can see the
corresponding implementation in the meeting pack.
- Select “ Structured Meeting Pack ” in
the upper data window.
- Under “ Source directory ,” select
the folder under which you want to store the meeting pack based on the predefined structure.
