Disable download of PDF files: "read-only"

Disable download of PDF files: "read-only"

This feature can only be found in a data room.  Data rooms can be added for the Growth and Enterprise packages.

A read-only PDF file contains a watermark and the timestamp on each single page. With this function, the PDF file is protected against.
-      Download
-         Print
-         Copy to the computer clipboard

Only the data room creator and the data room administrator can activate and deactivate the "read only" function for a PDF file.

Proceed as follows:

  • Open your data room
  • Use the check box to select the PDF file
  • Click on the "document" icon in the green bar
  • Select the "read only" function.

The PDF file is tagged with the "View-only" attribute. If a PDF file is view-only, you can tell by the "View-only" label under the file name. To remove the View-only attribute, select the None option.



Additional option:


Any access to each page of a document is recorded as a download in the journal and is useful when applying a rule to limit the downloads. It may happen that multiple scrolling through a document leads to an alarm message in the journal. However, you can prevent this by removing scrolling through a "read only" document from the rule for recording a mass download. This setting cannot be undone.



  • Open your data room

  • Open the 3-dot menu in the green bar

  • Click on the Box settings

  • Open the "Data room" tab

  • Select the function "Don’t record read/download activities in the journal".


Save your settings.
