Create a guest license user/temporary guest/regular guest

You can create a guest license for a person from another company in order to allow them to securely exchange data with other users. After you create a guest license for a user, you send them a registration link. The user creates their own login data during registration. To create a guest license user, at a minimum, you need to be a full license user with the permissions required to create regular or temporary guests.

You can create temporary or regular guest licenses. A temporary guest is automatically deleted after 30 days of inactivity. You can extend this 30-day period by adding extra days in the idgard® web app . Every time a temporary guest logs in, the 30-day countdown gets re-started. A regular guest is permanently bound to this license. The guest must be deleted for the license to become available again. The available license can then be assigned to another person to create a new guest.




Proceed as follows:

  • Open the Box.
  • Click on “Share.”
  • Select “Create guest.”
  • In the “Type” field choose between “Regular guest” and “Temporary guest.”
  • Fill out the form with the master data of the guest license user.
  • Enter the email address of the recipient.
  • Optional: Add the phone number (without spaces or hyphens) for sending a pass code via SMS. The phone number must start with a plus sign, followed by the country code, e.g., +49... For security reasons a mobile phone number is preferable to a landline number.

Access settings:

Optionally, two-factor authentication can be set up for guest licenses. It is, however, possible that a certain method for the two-factor authentication is required by the administrator of your idgard® account.




Proceed as follows:

  • To verify the authenticity of the person registering, select a method for the second factor. You can send a pass code via SMS to the specified phone number. If you choose the SMS option, you can generate a pass code via the Refresh button or you can manually enter a 5-digit pass code. You can send the pass code to the user via another medium, such as phone, SMS, email, or a Microsoft Teams chat channel. Registration takes place via a browser.
  • To verify the authenticity of the person registering, the selected second factor is sent to the user every time they log in. In the “Login 2-factor” field, you can determine whether a pass code is required for login. Sending a pass code via SMS to the specified phone number is an option here. SMS messages are subject to fees.
The guest license user creation process is completed once you click onSend invitation.” A registration link is then generated. Insert this link into an email and send it to the respective recipient who will then be invited to the idgard® account. They can only participate in data exchanges via the idgard® web app.
