Manage folders and files within a box

If you are within a box, you can perform several actions:

    Create folders

    Upload and delete files

    Create image files, record videos and voice messages

    Create notes

 

To generally select actions within a box:

Prerequisite is that you are owner or manager of the box or a box member with write permission.

1.   Select the Plus symbol.
The Actions dialog is displayed.

2.   Select one of the following options from the context menu:

    New folder

    Upload files

    Take a picture

    Record a video

    Record voice message

    Create note

 

 To create new folders:

Prerequisite is that you are owner or manager of the box or a box member with write permission.

1.   Select the box in which you want to create new folders. Navigate to the desired folder if necessary.

2.   Select the Plus symbol.
The Actions dialog is displayed.

3.   Select New folder.

4.   Into the New folder field, enter a name for the folder.

5.   Select OK.
A folder with the specified name is created in the box and the folder where applicable.


 

To rename folders:

Prerequisite is that you are owner or manager of the box or a box member with write permission.

1. Select the box where the folder that you want to rename is located. Navigate to its superordinate folder if necessary.

2. Select the More options symbol on the right side of the folder that you want to rename.

3. Select Rename from the context menu.

4. Into the Item name field, enter a new folder name.

5. Select OK.
The folder receives the new name.

 

To download files:

Prerequisite is that you are owner or manager of the box or a box member with read permission. Files are stored in an encrypted form in the idgard secure environment.

1.   Select the box from which you want to download files. Navigate to the desired folder if necessary.

2.   Select the file or the Download symbol.

 

To upload files:

Prerequisite is that you are owner or manager of the box or a box member with write permission.

1.   Select the box to which you want to upload files. Navigate to the desired folder if necessary.

2.   Select the Plus symbol.
The Actions dialog is displayed.

3.   Select Upload files.

4.   In the file folder of your mobile device, navigate to the files that you want to upload and select them.
The files are uploaded into the box and folder where applicable.

 

To rename files:

Prerequisite is that you are owner or manager of the box or the owner of the file that you want to rename.

1.   Select the box where the file that you want to rename is located. Navigate to the desired folder if necessary.

2.   Select the More options symbol on the right side of the file that you want to rename.

3.   Select Rename from the context menu.

4.   Into the Item name field, enter a new file name.

5.   Select OK.
The file receives the new name.

 

To replace files:

Prerequisite is that you are owner or manager of the box or a box member with read, write and delete permissions.

1.   Select the box where the file that you want to replace is located. Navigate to the desired folder if necessary.

2.   Select the More options symbol on the right side of the file that you want to replace.

3.   Select Lock from the context menu.
The file is locked and can be changed or replaced.

4.   Select the Plus symbol.
The Actions dialog is displayed.

5.   Select Upload files.

6.   In the file folder of your mobile device, navigate to the file that you want to use to replace the existing one and select it.
The existing file is replaced with the selected file if both files have the same name. Otherwise, a new file is created.

7.   Unlock the replaced file.

 

To delete folders or files:

1.   Select the box where the folders or files that you want to delete are located. Navigate to the desired folder if necessary.

2.   Select the More options symbol on the right side of the folder or file that you want to delete.

3.   Select Delete from the context menu.
A confirmation dialog is displayed.

4.   Select Delete selection to confirm the action.
The selected object is deleted from the box and folder where applicable.

 

To move files into other folders:

Prerequisite is that you are owner or manager of the box or the owner of the file that you want to move.

1.   Select the box where the files that you want to move are located. Navigate to the desired folder if necessary.

2.   Select the More options symbol on the right side of the file that you want to move.

3.   Select Move selected from the context menu.
The folders that are available in the box are displayed.

4.   Select the desired folder.

5.   Select Move.
The file is moved into the selected folder.

 

To create a note:

Prerequisite is that you are owner or manager of the box or a box member with write permission.

1.   Select the box where you want to create a note. Navigate to the desired folder if necessary.

2.   Select the Plus symbol.
The Actions dialog is displayed.

3.   Select Create note from the context menu.
The Create note dialog is displayed.

4.   Into the Heading field, enter a name for the note. Create the content of the note in the Content of the note field.

5.   Select the Save icon  in the top app bar.
A note with the specified name is created in the box and folder where applicable.

 

To create an image file in the box:

Prerequisite is that you are owner or manager of the box or a box member with write permission.

1.   Select the box where you want to create a image file. Navigate to the desired folder if necessary.

2.   Select the Plus symbol.
The Actions dialog is displayed.

3.   Select Take a picture from the context menu.
The camera function of your mobile device is activated and you can take a picture. Follow the instructions on your mobile device.

4.   Take the desired picture and confirm.
The token picture is loaded into the box and folder where applicable.
