Secure sending of e-mail attachments with the BoxMail

Secure sending of e-mail attachments with the BoxMail

If the function to create this box is inactive, contact the administrator of your idgard® account. The administrator can assign you permissions to create a temporary box. A BoxMail is characterized by the fact that you can create a secure box, send files to users and secure access by entering a passcode in just a few steps. You can recognize a BoxMail in the Box overview by the clock symbol on the left before the name of the box and the designation BoxMail.

Proceed as follows:

Click the "Letter" icon  in the header bar of the box overview.

  1. Insert the e-mail address of the addressee.Click on the "To" field to select whether you want to send the email directly, set it to cc or bcc.To prevent other users from seeing each other, you should set the email address to bcc.
  2. If you want to send a passcode, insert the phone number without spaces to which the passcode should be sent via SMS. For security reasons, a mobile number is preferable to a landline number.
  3. Upload the files. You can upload multiple files one after the other.

Security tab:

  1. In case of 2-factor authentication, open the Security tab and select the Passcode option.
  2. To generate a passcode, activate it via the checkbox. Click on the cog and a passcode will be generated for you by the system.
Properties tab:
  1. Open the "Properties" tab: define how many days the "BoxMail" should be active and give the BoxMail a name.
Click on "Create BoxMail".
  1. You will see the invitation text with the registration link. Activate "Open in e-Mail client". If your e-mail program is set as the default program on your computer, the invitation text will be inserted into your e-mail program, and you can customize and send it.
