Invite temporary guest

You can invite guests whose access will be deactivated at a specific time. The license of a temporary guest expires at midnight on the specified date.

How to invite temporary guests:

  1. Select the Users menu in the sidebar.
    The user administration is displayed and contains an overview of all users.
  2. Select the Create user option in the header bar.
    The Create user dialog and the Details step are displayed on the right-hand side of the screen.
  3. In the General area, enter the first and last name of the new user in the Name field.
  4. Enter the e-mail address of the new user in the E-mail field.
  5. Optionally, enter the phone number of the new user in the Phone number field.
  6. Optionally, enter the name of the organization or company to which the new user belongs in the Organization field.
  7. Optionally, enter information in the Description field.
  8. In the License area, select Guest license from the drop-down list.
  9. Activate the Set expiration date checkbox and specify the date on which the guest license should expire in the field below.
  10. In the User groups area, optionally select the user groups to which you would like to assign the new user from the drop-down list. Alternatively, you can enter a search term in the Search field. As you enter each letter, the list of available user groups is updated so that only possible matches are displayed.
  11. Select Next.
    The Access step is displayed.
  12. In the Invite to Box area, select which box new users with a guest license may access first after successful registration.
    This option is not available for new users with a full license. Select one of the following options:
    1. Don't invite to any Box if the new user with a guest license is not initially allowed to access any Box.
    2. Create a common PrivacyBox if you want to create a PrivacyBox for shared use. As soon as the new user with a guest license has been created, a PrivacyBox is created and displayed in the Box overview. The new user with a guest license can access this PrivacyBox after successful registration.
    3. Invite to an existing Box if the new user with a guest license is allowed to access an existing Box. Under Select box, select the box that the new user with a guest license can access after successful registration.
  13. In the Two-factor authentication for registration area, specify how the new user should authenticate themselves during registration. To do this, select one of the following options from the list:
    1. Passcode: The new user must authenticate themselves with a passcode when registering.
      The Passcode and Phone number fields are displayed. Enter a 5-digit passcode in the Passcode field or select the Refresh icon to generate a passcode. Copy the passcode for sending later. Enter the phone number of the new user in the Phone number field if you want to send the passcode by SMS. Alternatively, you can send the passcode via another communication channel.
    2. LoginCard: The new user must use your LoginCard data for registration.
      The LoginCard and LoginCard code fields are displayed. Enter the number printed on your LoginCard in the LoginCard field. Select Test LoginCard to register and check the LoginCard. Enter the code generated by your LoginCard in the LoginCard code field.
    3. None: The new user can register without two-factor authentication.
  14. In the Two-factor authentication for login area, specify how the new user should authenticate themselves after registration when logging into the idgard app. To do this, select one of the following options from the list:
    1. Authenticator app - one-time password: In addition to the user name and password, the new user must also enter a one-time password that is generated via the Authenticator app.
    2. SMS passcode: The new user must authenticate themselves during registration with a passcode that they receive by SMS.
      The Phone number field is displayed. Enter the new user's phone number to which the SMS passcode should be sent.
    3. LoginCard: The new user must use your LoginCard data for registration.
      The LoginCard and LoginCard code fields are displayed. Enter the number printed on your LoginCard in the LoginCard field. Select Test LoginCard to register and check the LoginCard. Enter the code generated by your LoginCard in the LoginCard code field.
    4. None: The new user can log in without 2-factor authentication.
  15. Select Create user.
    The new user is created and the registration link is displayed.
  16. Select from the following options:
    1. Copy icon next to the registration link to copy the link to the clipboard.
    2. Send passcode by SMS if you want to send the passcode by SMS. The passcode can only be sent successfully if a telephone number has been stored for the new user.
    3. Send invitation if you want to send the registration link by e-mail with an invitation text. To do this, select the option Open in e-mail client, the desired e-mail program and Open link.
      You can select several or all options in succession. Make sure to send the registration link and the passcode via different communication channels.
  17. Select X to close the dialog.
    The new guest user is displayed in the user overview.
