Viewing, querying, and exporting activities in the journal of a Data Room

The Data Room journal


Data Rooms are only available with the Growth and Enterprise package. Each Data Room automatically has its own journal. Every user activity in the Data Room is logged in the journal in an unchangeable and therefore audit-proof manner. Consequently, access and changes to Data Room contents can be traced if necessary. Users who are authorized to view the journal may also be granted permission to export its contents. Journals are not available for PrivacyBoxes.


Proceed as follows:
  1. Open the Data Room.
  2. Click on the 3-dot menu in the top-right corner.
  3. Then select “Data Room journal.”


Using a filter to display selected data

When you open the journal, all activities performed during the lifetime of the Data Room are displayed. You can use a filter to limit the data displayed by the system without changing any of the remaining data. Different types of filters are available for querying data. They are easy to use and remove.

 


The following filter options are available (from left to right):

“User” field: If you leave this field empty, the actions of all of the members of the Data Room are displayed. If you click on this field, all members of the Data Room are shown. If you chose to select individual member/s, only the actions of the selected member/s are displayed.  

“Category” field: You can select certain objects, files, messages, folders, or members to limit the number of displayed activities. Or you can view all activity categories.  

“Activity” field: If you select one of the available options in the “Category” field, you now have the option to further limit the displayed activities. For example, the following activities are available for the category “File:” uploaded, downloaded, deleted, moved, replaced, etc.  

Fields to limit the time period : If you do not limit the time period, all logged activities from the time the Data Room was created up until the current date are displayed. Alternatively, you also have the option to filter by time period.  

We provide a variety of filter options. You can also apply a combination of filters. The filtered data remains visible until you leave the journal. It is not possible to save the results of the data query.



Downloading the journal:


You can export the Data Room contents if you have the appropriate permissions. Otherwise, the “Export” button is grayed out. Only the data volume shown will be exported. Therefore, the filtered data volume is only a small part of the journal’s actual data volume. Exporting the contents to a .csv file provides the basis needed to prepare the data for evaluation using a common spreadsheet program. Among other things, you can import a .csv file into an Excel spreadsheet. The individual evaluation then takes place in Excel or you export the data directly into an Excel sheet.


Proceed as follows:

  1.   Apply the desired filter/s.
  2. T he results of your data query are displayed.
  3. Click on “Export.”
  4. Select whether you want to transfer the journal data to a .csv file or to an Excel file.
  5. Click the "Export" button again.
