Creating a user with guest license

You create a person of another company with a guest license to enable him to exchange data in idgard® with other users. If you have created a user with a guest license, you send him the link for his registration. The user creates login data during registration.  To create a guest license user, you need at least a full license and the appropriate permissions to create a guest. 

Create profile



Proceed as follows:
  1. Open the "Guests" module in the sidebar on the left.
  2. You are in the guest management.
  3. Click the "+" icon at the top of the toolbar.   
  4. Fill in the form with the master data of the guest license user.
  5. Select "regular guest" or "temporary guest" in the "Type" field.
  6. Insert the e-mail address.
  7. Optional: Insert the phone number for sending a passcode via SMS without spaces and without dashes. For security reasons, a mobile phone number is preferable to a landline phone number.
You can create a guest with a temporary or a regular license.  A temporary guest is automatically deleted after 30 days of inactivity. You can extend these 30 days for additional days. If a temporary guest has logged in during this period, that guest's license is not deleted and the 30-day countdown starts over.   A regurlar guest is continuously bound to this license. Only when this guest is deleted, the license becomes free again. With the free license, another person can be created as a guest.

Two-factor authentication 



To increase the security of registration or login, we offer additional methods to the password entry. A passcode sent by SMS to the specified phone number or TOTP method. Choose the method you need.

The SMS passcode is visible and can be delivered automatically via SMS (if a phone number is entered), but it can also be sent to the recipient itself via other channels, e.g. Teams, WhatsApp, email,...


Proceed as follows:
  1. If the correctness of the person registering is to be confirmed, select a method for the 2nd factor. Among other things, you will be offered to send a passcode via SMS to the specified phone number. If you select the SMS, you can generate a passcode using the "arrow icon" or you can enter a 5-digit passcode yourself. The 2nd factor is sent only during registration.  
  2. If the correctness of the person registering is to be confirmed, the selected 2-factor is sent to the user each time he registers. You can also choose the passcode, which will be sent by SMS to the given phone number. A fee is charged for each SMS sent.
  3. You can assign logon via TOTP to a user. The user must then first pair his or her credentials with an authentication app . If the login via TOTP is successfully completed, the user can then generate a code via his app for the login.
Complete the creation of the guest user with "Create guest". The user is now created, but has not yet been invited. The status of the user is set to "initiated". If data in the profile is changed, the user will be informed of this by e-mail.
