Share data room - one-time access to files for users without license

Share box -Share data room

Data rooms are only included or can be added in the Growth and Enterprise packages. This function of "sharing a box" can also be found in PrivacyBoxes. In contrast to a PrivacyBox, this function must first be activated in the data room. Only the creator or administrator of a data room can activate the one-time access function for a data room.

You use the "Share Box" function when:
  1. you want to allow an external guest without an idgard® license a "one-time access" to download documents.
  2. you want to allow an idgard® user with a license of another idgard® account to access the documents of this box.
Please note the following: Each PrivacyBox or data room that you create is sealed. If you want to use the "Share Box" function, the seal is broken. The box is open as long as you allow accesses to this box.  ( Access quota >0)



Proceed as follows:

  1. Click on the 3-dots at the top right of the toolbar.
  2. Select the "Box settings" function.
  3. Open the "Data Room" tab.
  4. Activate the "Enable One Time Access" option via the checkbox.
  5. Save your entries.
You can now use this function in the same way as for PrivacyBoxes. You will learn the further procedure in the article "Share Box".
