The Auditor role in idgard

The Auditor role in idgard is a read-only function for Enterprise customers, allowing designated users to monitor Data Room activities, export reports, and ensure compliance with company policies. Auditors have full access to Data Room member lists, journals, and can generate various audit reports, but cannot access content, modify or manage Data Rooms . Auditors have no modification rights, ensuring the role remains strictly observational.

Auditors in idgard are granted several important privileges, including:
  1. Export of Data Room index, journals and admin logs.

  2. View all users of the company.

  3. View Data Room member lists and permissions (read-only).
  4. Ability to generate detailed reports on Data Room activities, including non-monitored Data Rooms, user memberships, and permission structures.
  1. Generate a report of all non-monitored Data Rooms. 
    As an Auditor, you want to make sure that you have access to every Data Room. You can create and download a list of all Data Rooms you cannot audit. The list may vary for different auditor accounts.  Afterwards, you can contact the respective owner to give you access to the unaudited Data Room.
    1. Log in as Auditor.
    2. Navigate to Enterprise Settings > Audit report.
    3. Under Report on unaudited Data Rooms, select Generate report.
      An Excel file is downloaded. You can see all the Data Rooms in which you are not a member. If you want to audit them, contact the Data Room owner.  
  1. Generate a report of Box membership.
    As an Auditor, you can check who has access to which Data Room and what are their permissions.
    1. Log in as Auditor.
    2. Navigate to Enterprise Settings > Audit report.
    3. Under Report on Box memberships, select Generate report.
      The download starts.
    4. To track the progress of the download, navigate to Batch jobs in the left menu sidebar.
    5. To update the progress tracker, you can select Refresh job status
    6. When the status icon shows 100, select Download job content.
      An Excel file is downloaded. You can see a list of all users with their memberships and which permissions they have in each of these Boxes.
