This function is only included in the Enterprise package. Only in the Data Room is this function available. When classifying documents, you give a document additional information when uploading it. This function is freely configurable by the administrator and can be used for any need. Before you can classify documents, the administrator must define document classes. If a class is assigned to a document, it can only be seen by users with a full license. If a document class is defined, it will appear in the administration log. This includes:
- Creation of a new classification
- Modification of an existing classification
- Deletion of an existing classification
- Forcing classification when uploading files
The “Classification” feature must be enabled for your idgard® account for this feature to be available in the Administration menu.
Proceed as follows:
- Open the Administration menu
- Open the 3-dot menu in the top-right corner
- Select the "Enterprise settings".
- Open the "Boxes" tab.
- Go to “Document classification”.
- Use this feature to "Define a new class".
- Enter the term with which the document is to be classified in the field “Name”. The field “Description” is optional.
- At first Set the class as default.
- You can set all your classes to "active" or "disabled".
- If you want to delete a class click on "Delete" button.
If you set a class to disabled, this will not affect a previously classified document. A class cannot be deleted if there is a document it has been assigned to. A document class is active only after a new login.
